The Build a Quote estimating tool

Version 3.3 · Last updated 12 October 2026

What changed in version 3.3. We now count how often the tool is used — how many times it is opened, priced, saved and sent — so that we and the trade can see whether it is working. A count records nothing about you. Section 8 explains.

This notice explains what happens to the information you give us when you use the estimating tool. It is written to be read, not to be got past.

1. The short version

2. The two ways to use the tool, and who is responsible

Anyone can work through the questions and see an estimate without giving us anything that identifies them. At the end you are offered two different buttons, and it matters which one you press.

“Send to the trade” — you are asking the trade to contact you.

Your name, email address and telephone number go to the trade business whose tool you are using, together with your answers and the estimate. We also email you a copy. Where the trade has it switched on, we also text the trade to say your enquiry has arrived, with your name, telephone number, the service, the area and the estimate, so it can call you promptly. The text goes to the trade only; we never send texts to you. From that point the trade holds your details and decides what to do with them.

For this route the trade is the data controller and we are its processor. It decided it wanted enquiries; we handle your details on its instructions.

“Email me this price” — you are asking us for a copy, and nothing more.

Your name and email address are used to send you your estimate. The trade is told that a saved estimate exists, and is told nothing else — no name, no email address, no telephone number. It cannot contact you, because it has not been given anything to contact you with.

For this route we are the data controller. You asked us for something and we did it; the trade is not involved.

We are also a controller in our own right, on both routes, for our server logs and for keeping the tool secure and working.

The trade business is named on the tool and in the email you receive. If you want to know what it does with your details after it has them, contact it directly.

Build a Quote is provided by Phil Rozier, trading as Build a Quote. You can reach us at phil@buildaquote.uk.

3. What we collect, and when

InformationWhenWhy
Your answers to the estimating questionsAs you use the toolTo work out the estimate. These may describe your property, such as its size or the work needed.
Your postcodeAs part of the estimating questionsTo work out travel, and so the trade knows where the job is.
Your name and email addressOnly if you press either buttonTo send you your estimate, and — on “Send to the trade” only — to pass your enquiry on.
Your telephone numberOnly on “Send to the trade”So the trade can call you. It is not collected on “Email me this price”.
Your full addressOnly if you choose to give itSo the trade can judge access to the job. This is optional and the tool works without it.
Anything you type in the notes boxOnly if you write somethingSo the trade knows what you are asking for. Please see the warning below.
Photos of the jobOnly if you choose to add them, on “Send to the trade”So the trade can understand the job. Optional — the tool works without them, and they do not change the estimate.
Your IP addressAutomatically, when you submitTo limit how many enquiries can be sent from one connection, so the tool cannot be flooded. Held in memory only and lost when the server restarts.

We do not ask for special category data — nothing about health, beliefs, or anything similar — and none of our questions is designed to elicit it. The notes box is free text and whatever you write in it is recorded in our logs. Please keep it to the job, and do not put anything sensitive there.

Photos you add go to the trade as attachments to its copy of your enquiry. They are not sent back to you and we do not keep them. A photo can show more than you intend — people, number plates, the inside of your home — so please only include what helps with the job.

Giving us your contact details is entirely your choice. You are not required to give them by law or by any contract. If you do not, you can still use the tool and see an estimate; we simply cannot email you a copy or pass an enquiry to the trade.

4. Why we use it, and our lawful basis

What we doWho is responsibleLawful basis
Work out your estimate from your answersYou are not identified at this stageNo personal data is required to see an estimate.
Send your enquiry to the trade (by email, and by text where the trade has that switched on), and you a copy — “Send to the trade”The trade (controller); us (processor)Article 6(1)(b), steps taken at your request before any contract, or Article 6(1)(f), the trade’s legitimate interest in answering an enquiry made to it.
Email you a copy of your estimate — “Email me this price”Us (controller)Article 6(1)(b) — you asked us to send it.
Limit enquiries per connection; keep short-lived logs; keep the tool secureUs (controller)Article 6(1)(f) — our legitimate interest in a service that works and cannot be abused. We keep this to the minimum needed.

We do not use your details for marketing and we do not add you to any mailing list. We do not sell your information, share it with any other trade, or pass it to advertisers.

5. Who else sees it

We use three suppliers. They act on our instructions or under their own published terms, and none of them uses your information to build a profile of you.

SupplierWhat they doWhere they process it
Netlify, Inc.Hosts the tool and runs the server functions that produce the estimate, send the emails and send the textUnited States
ResendDelivers the two emails, including any photos you addEmail is routed and sent from Ireland. Resend’s stored data and logs are held in the United States.
The SMS Works LtdSends the text message that tells the trade an enquiry has arrivedUnited Kingdom

Beyond those three, the only people who see your details are the trade business — where you asked for it — and you.

6. Information sent outside the UK

Two of our suppliers, Netlify and Resend, process information in the United States, so your details are transferred outside the UK. The SMS Works processes information in the United Kingdom.

For Resend this is worth stating precisely, because it is easy to assume otherwise. The sending region we have chosen means email is routed and sent from Ireland. That setting controls where mail is sent from; it does not control where Resend stores data, and Resend’s primary processing takes place in the United States.

Those transfers are made under the UK Extension to the EU–US Data Privacy Framework, the UK adequacy regulations for the United States. Netlify and Resend have both self-certified to the US Department of Commerce under that framework, and transfers to Resend are additionally covered by the Standard Contractual Clauses in its data processing agreement.

We check periodically that each US supplier’s certification remains active on the Data Privacy Framework list. If a certification lapses, or the framework ceases to be available, we will put an alternative safeguard in place or move to a different supplier.

7. How long it is kept

We do not store your enquiry in a database. Your details pass through our system so that the emails and the text can be sent, and are not written to storage by us.

One line about each submission is written to our server logs, which our hosting provider keeps for a limited period and which we use only to diagnose faults and investigate abuse. It is worth being exact about what that line holds.

The emails themselves then sit in your mailbox and in the trade’s mailbox. How long the trade keeps its copy is a matter for the trade, and its own retention policy applies.

Resend keeps the content of each email, including any photos, for 30 days and then deletes it. The SMS Works keeps each text message, and the record of its delivery, for 30 days and then deletes it — we set that limit; without it they would keep the record longer.

8. Cookies, tracking and your browser

We do not use advertising or tracking of any kind. We do count how many times each trade’s tool is opened, priced, saved and sent, so that we and the trade can see whether it is working. Each count holds only the date, the tool and the trade — nothing about you: no address, no answers, no cookie and no identifier, so it cannot be linked back to you. We do not use cookies to track you, we do not build a profile of you, and we do not follow you to other websites.

If you use the tool to build and keep your own estimator settings, those settings are saved in your browser’s local storage so they are still there next time. They stay on your device, are not sent to us, and you can clear them at any time through your browser settings. Nothing you enter as a customer asking for a price is stored this way.

9. How the estimate is produced

The estimate is worked out automatically, by software, from the answers you give and the prices the trade has set. No person reviews it before you see it.

This is not a decision that has legal or similarly significant effects on you. The figure is an indicative range to help you decide whether to have a conversation. It is not a quotation, it is not an offer, and no contract is formed through the tool. Any quotation, and any contract for work, is made separately between you and the trade after it has looked at the job properly.

Because of that, the additional rights that apply to solely automated decision-making do not arise here. You are of course free to ask us how the estimate was arrived at.

10. Children

The tool is meant for adults arranging work on a property. It is not directed at children and we do not knowingly collect information from anyone under 18. If you believe a child has submitted their details through the tool, tell us and we will help get them removed.

11. Keeping your information safe

12. Your rights

You have the right to ask for a copy of your personal data, to have it corrected or deleted, to object to it being used, to ask that its use be restricted, and in some cases to receive it in a portable form. Where we rely on legitimate interests you can object, and we will stop unless we have compelling grounds not to. Where you have given consent, you can withdraw it at any time, and that does not affect anything done beforehand.

Which of us to ask depends on which button you pressed. If you sent your details to the trade, the trade is the controller and it is the most direct route — though you can come to us and we will help and pass your request on. If you only asked us to email you a copy, come straight to us.

Exercising any of these rights is free, and we will respond within one month.

13. Complaining

You can complain to us first, and we have to deal with it. Since 19 June 2026 you have had a statutory right to complain directly to an organisation about how it has handled your personal data, before going anywhere else. Email phil@buildaquote.uk with the word “complaint” in the subject line. We will acknowledge it within 30 days, look into it properly, and tell you the outcome.

If your complaint is about what the trade has done with your details after it received them, the trade is the controller and you should raise it with them. Tell us anyway if you would like help.

You can also complain to the Information Commissioner’s Office at any time, and you do not have to come to us first. The ICO can be reached at ico.org.uk, by calling 0303 123 1113, or by writing to Information Commissioner’s Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF.

14. Changes to this notice

If we change this notice we will update the version number and the date at the top. Where a change materially affects what happens to your information, we will highlight it on the page rather than leave you to spot it.
